1. Responsible party

Veridia Medical (Pty) Ltd (registration number 2025/294884/07), trading as Veridia, is the responsible party for personal information processed through this website. Privacy enquiries and requests may be sent to info@veridia.co.za. Veridia is based in South Africa and is not a walk-in retail or collection location.

2. Information we collect

Depending on the form used, we may collect identity and contact details; professional registration and practice information; business and entity details; authorised ordering contacts; physical practice, business and courier delivery addresses; product or portfolio interests; application declarations and consent records; and supporting documents such as identification, proof of HPCSA status, proof of address, entity records and authority letters.

Do not submit patient records, patient health information, prescriptions or other patient-identifying information through a public website form. These must be transmitted only through a secure order route confirmed by Veridia.

3. Why we process information

Information is processed to respond to enquiries; assess account and portfolio eligibility; verify professional or business details; prevent fraud; administer approved accounts; coordinate orders and courier delivery; maintain regulatory and business records; manage risk; communicate necessary service information; and establish, exercise or defend legal rights.

Application information marked as required is necessary to assess the application. If it is not provided, Veridia may be unable to review or approve the account.

4. Verification and sharing

Where reasonably necessary, information may be shared with or checked against the HPCSA or other official records; courier and fulfilment providers; secure hosting and email service providers; professional advisers; contracted service providers operating under appropriate confidentiality obligations; suppliers or principals where necessary for channel approval; and regulators, law-enforcement bodies or courts where legally required.

Courier providers receive only the delivery and contact information reasonably required to fulfil and track a delivery.

5. Direct marketing

Marketing consent is optional and separate from mandatory application-processing consent. If you opt in, Veridia may send relevant portfolio, professional, training or trade updates through the channel indicated. You may withdraw marketing consent at any time by contacting Veridia. Withdrawing marketing consent does not affect necessary account, order, safety, regulatory or service communications.

6. Cookies and website data

This website uses a temporary, security-focused session cookie to protect forms and limit abuse. It does not currently use advertising cookies or third-party behavioural analytics. Standard server logs may record technical information such as IP address, browser, requested page, date and time for security and operational purposes.

7. Security and retention

Veridia applies reasonable technical and organisational safeguards appropriate to the nature of the information. Uploaded application documents are attached directly to the application email and are not intentionally stored in a public website folder. No internet transmission is completely risk-free.

Information is retained only for as long as reasonably necessary for the stated purposes, account administration, legal or regulatory obligations, dispute management and legitimate business records, after which it is securely deleted, destroyed or de-identified where appropriate.

8. Your rights

Subject to applicable law, you may request access to or correction of personal information; ask for deletion or restriction where appropriate; object to certain processing; withdraw consent where consent is relied upon; and lodge a complaint with South Africa's Information Regulator. Veridia may need to verify your identity before actioning a request.

This notice may be updated when processes, service providers or legal requirements change. The current version will be published on this page with its effective date.
